Important EC Communication - Are You Using the Correct Proposal Template?

Following a recent communication from the European Commission, the following clarifications have been provided regarding the use of application form templates:

- Work programme–specific templates: certain templates are linked to specific work programmes. For instance, Part B templates dated November 2025 or later apply only to WP 2026–2027 calls and are not valid for WP 2025 calls. The same principle applies to detailed budget tables and country coefficients.
- General rule: unless otherwise specified, the applicable template is the version available at the call opening date. For two-stage calls, the relevant version is the one available at the opening of stage one, and this applies to both stages.
- Call-specific templates: in some cases (e.g. different page limits or additional requirements), customised templates may be provided for a specific call. These are only accessible within the submission system and are not included in the reference documents section.
- Authoritative versions: reference documents are provided for guidance only. In case of discrepancies, the templates available in the submission system are the only valid versions.

These points apply to all application documents, including Part B forms, detailed budget tables, and annexes.

Applicants are advised to rely on the templates provided directly in the submission system, as these are considered the most appropriate for each call.
